Position Summary
The Office & Events Coordinator provides essential support to the Washington County Chamber and Gateway Development Corporation’s daily operations. This role ensures smooth office functioning, supports board and committee activities, assists in event logistics, manages records, and provides outstanding service to members and community partners. The ideal candidate is detail-oriented, organized, and tech-savvy, with a strong ability to manage behind-the-scenes functions in a mission-driven environment.
Key Responsibilities
Team & Volunteer Coordination
- Supervise and support interns, volunteers, or part-time administrative staff as assigned.
- Delegate event or office tasks appropriately and ensure follow-through.
- Provide training and task guidance to support consistent operational performance.
Event Support
- Assist with logistics and preparation for events, including registration, setup, and on-site coordination.
- Coordinate with vendors, venues, and volunteers for major events (Annual Meeting, Golf Events, Gateway to the West, Tanenbaum Festival).
- Prepare name tags, guest lists, materials, and signage.
Office Operations & Scheduling
- Oversee and manage all general office operations, including phones, mail, supplies, filing systems, and facility needs.
- Ensure smooth coordination of executive schedules and organizational calendars.
- Manage the Executive Director’s calendar and coordinate meeting schedules.
- Track key organizational dates and recurring operational tasks.
Board & Committee Support
- Prepare agendas, minutes, and meeting packets.
- Coordinate meeting logistics and maintain accurate records.
- Keep board rosters, term limits, and committee communications up to date.
Member & Customer Service
- Serve as the first point of contact for members, visitors, and callers.
- Respond to inquiries and support member engagement and onboarding.
- Maintain accurate CRM records and assist with member retention efforts.
Data Entry, Reports & Invoicing
- Maintain data systems and support internal reporting needs.
- Assist with membership invoicing and light bookkeeping tasks.
Website & Social Media Support
- Provide basic updates to the organization's website (e.g., event listings, announcements).
- Assist in posting and scheduling content for Facebook, LinkedIn, and other social platforms.
- Support promotion of events, campaigns, and initiatives via digital channels.
- Track engagement metrics and help grow online visibility in coordination with leadership or contracted marketing partners.
Miscellaneous
- Represent the Chamber and Gateway at community events and public meetings when appropriate.
- Maintain confidentiality and uphold ethical standards in all matters.
- Support special projects, grant applications, and community development efforts.
- Perform other duties as assigned.
Qualifications
- Associate degree or equivalent experience in office administration, business, or related field.
- 2+ years of experience in an administrative, customer service, or office coordination role.
- Strong organizational skills and high attention to detail.
- Ability to manage multiple tasks and deadlines while maintaining confidentiality.
- Proficiency in Microsoft Office, Google Workspace, and cloud-based tools.
Preferred Competencies
- Experience working in nonprofit, chamber, or community-facing environments.
- Familiarity with CRM systems (e.g., ChamberMaster), bookkeeping software (e.g., QuickBooks), and social media platforms.
- Comfortable with basic website CMS editing (e.g., WordPress or similar).
- Friendly, collaborative, and service-oriented attitude.
Physical Demands / Work Environment
- This position requires the ability to sit, stand, walk, and use a computer for extended periods.
- Must be able to occasionally lift and carry materials or equipment up to 25 lbs.
- Work is typically performed in an office setting, with occasional off-site meetings and events.
- Local travel within Washington County may be required.
- Some evening and weekend work may be necessary to support events and organizational activities.
